How to Change the Date and Time on a Note

Case notes aren’t always entered at the exact moment an interaction occurs. To support accurate documentation and record-keeping, Notehouse allows you to edit the date and time associated with a note.

You can edit a note’s timestamp to reflect when the interaction actually took place, whether you’re entering notes later in the day or documenting something retroactively.

Overview

Notes in Notehouse can be timestamped to reflect when an event occurred, not just when the note was entered.

A few important things to know:

  • Notes can be dated in the past or present.
  • Notes cannot be dated in the future.
  • Any user with permission to create or edit notes can adjust the date and time.
  • Editing the date and time does not change the note content.
  • If you do not edit the date and time of a note, it will reflect the current date and time.
  • Edited dates will always show who the note was edited by and when for compliance purposes.

This flexibility helps ensure your records remain accurate, consistent, and compliant with your organization’s documentation practices.


Editing the Date and Time While Writing a Note

  1. Open the client’s record
  2. Locate the Notes section
  3. Click into the text box
  4. Enter your note contents as usual
  5. Click the three-dot menu in the lower-left corner of the text box
  6. Select Change Date/Time
  7. Edit the date, time, or both as needed
  8. Save the note

The note will appear in the client’s timeline based on the date and time you selected.

Editing the Date and Time After a Note is Saved

  1. Open the client’s record
  2. Find the note you want to update
  3. Click Edit on the note
  4. Select Change Date/Time
  5. Click Save

The note will move automatically in the timeline based on the updated timestamp.

When to Edit a Note’s Date and Time

Common scenarios include:

  • Documenting a meeting or call after it occurred.
  • Backfilling notes from earlier in the day.
  • Correcting an incorrect timestamp.
  • Maintaining accurate timelines for compliance or reporting.
  • Reporting an incident.
